Customer no-shows: what UK trades can do
An empty driveway in BN14 still costs fuel, time, and the job you turned down to be there. Prevention first; clear fees second.

Cut no-shows with a day-before confirmation text, a morning-of access ping, a booking deposit, and clear access details taken on the first call. On the day, arrive in the window you gave, wait a set 10–15 minutes with two calls and a text, photo the door, then charge the abort fee only if your booking message already said so. Consistency beats inventing a new rule in the rain.
You park up, tool bags out, knock twice. Curtains twitch two doors down; nobody home at the job. Phone goes to voicemail. That slot was a real morning. The aim is fewer of those mornings, not a perfect revenge invoice.
How do you stop soft bookings becoming no-shows?
Confirm the day before
A short text: date, arrival window, address, your mobile, and “reply YES to confirm”. No reply by 4pm? Ring once. Still nothing? Do not leave a gap in the diary hoping they remember.
Morning-of ping
“On my way / with you between 10 and 12. Need someone in for access.” Especially for flats with door entry and for landlord jobs where the tenant forgot.
Take a booking deposit
Even £40–£80 changes behaviour on small jobs. Bigger jobs need a real deposit tied to materials or diary hold. See the deposits guide for cancel wording.
Collect access detail on the booking call
Gate codes, which flat, which neighbour has a key, dog in the garden, parking bay. The no-show that is actually “stuck outside Block C” still burns forty minutes.

What should you do when nobody is home?
Arrive in the window you gave
If you said 10–12, do not rock up at 12:40 and call it their fault.
Call, text, wait a set time
Many trades use 10–15 minutes on site, two calls, one text. Write your number into the booking message so you are not inventing it in the rain.
Photo the door / street and leave
Timestamped photo of the front door or building entrance (no snooping through windows) helps if they dispute the abort fee later.
Charge what your terms said
If you never mentioned an abort / wasted journey fee, collecting one will feel like ambush. If you did, invoice it the same day while it is fresh.
What texts should you send for bookings and no-access?
Booking confirmation
Hi [Name], confirmed for [day] between [window] at [address]. Please ensure someone 18+ is there for access. Reply YES to confirm. Abort / no-access fee £[X] after 15 minutes on site if we can’t get in. Thanks, [Your name] [mobile]
No-access follow-up
Hi [Name], we attended at [time] and couldn’t get access after calling you on [number]. As per the booking message, the abort fee is £[X]. Happy to rebook when you have a firm access plan.
Reminder: the abort fee only sticks if it showed up before they booked. Same honesty rule as phone quotes.
If nobody answers the booking call, the diary fills with maybes

No-show questions
Can I charge if they simply forgot?
If your terms and booking message said so, and you attended in the agreed window, an abort fee is a normal trade practice. Keep it reasonable (travel + time), not punitive. Kindness on a first offence for a long-term customer is a business choice, not a legal requirement.
What about landlord / tenant mix-ups?
Get the paying customer’s mobile and the site contact’s mobile. Confirm with both. “The tenant knew” is not a plan.
Should I wait longer in bad weather?
Your call. Consistency matters more than heroics. If you sometimes wait 40 minutes and sometimes leave at 5, customers learn nothing and you resent the ones you waited for.
Does a deposit stop all no-shows?
No. It stops a chunk of soft bookings and compensates you for some of the rest. Combine a deposit with day-before confirmation texts and a clear abort fee in the booking message. Prevention beats chasing money after an empty driveway.
